How long is the rental window?

Evening rentals are for a 6 hour window (generally 5pm to 11pm).  Set-up time is available the 3 hours prior to your event and break-down is 1 hour following your event.  For weddings, set-up and break-down time can be moved to the day prior and following (respectively) your event, pending other rentals.  Additional set-up or break-down time will be charged at an hourly rate.

Breakfast and lunch rentals are for a 4 hour time frame including set-up and break-down.

Weekday mixer/cocktail hour window is for 3 hours including set-up and break-down.  Additional time is available for an hourly fee.


What all does the rental include?

Rentals include use of space as outlined in contract as well as A/V and our state-of-the-art LED lighting system, owner/staff on-site for entire duration of event, assistance with vendor referral, and free parking. Rental price does not include table and chairs, which must be rented from an approved vendor.

Full day events and weddings also include a sit-down space planning meeting with Freight owner using our 3D space planning tool.  You will leave with a PDF design of your plan that you can share with your other vendors.


Can I hang my own art/decor?

Due to our commitment to our artists, we try to keep the current show hanging whenever possible.  If your event requires the taking down and re-installation of a show, additional fees may apply.  (Wedding ceremonies and receptions are not subject this clause.)

 

Can alcohol be consumed during my event?

Yes, you can provide alcohol to your guests free of charge and to anyone 21 or older.  Bar service must be provided by at TABC certified bartender through Gwendolyn Group Catering/Kimura at Freight.

 

Is security required?

Minimum of one security guard is required per 100 people at all events where alcohol will be served.  An additional security guard is required for every 50 people beyond the initial 100.  Security fee is not included in rental price, but we can assist you with security referrals if needed.

 

Is there a preferred vendor list?

We do have great referrals, but we are happy to work with you if you have someone in particular in mind.

 

What is the deposit requirement?

Half (50%) of the rental fee, including tax, is required at the time of booking in order to secure your date.  In the case of a cancellation, deposits are non-refundable but transferable based upon venue availability.  We are unable to make any exceptions regarding return of the deposit.  Cancellations must be received via written request.

The remaining balance is due 30 days prior to the event.  If booking is made less than 30 days prior to event, rental fee in full is required at time of booking.
